EXHIBITION ENTRY RULES

 

Eligibility
1. Any club member may submit an entry, but only via their affiliated Society or Club.
2. A maximum of 4 monochrome prints, 4 colour prints, 4 slides & 4 digital images per entrant is permitted. Provided the same or similar image is not submitted in more than one section. There is no limit to the number of members submitting work in a Society or Club's entry.
3. Prints, slides or digital images must not be more than 4 years old. (For prints and digital images this does not refer to the date the image was captured).
4. Any print that is liable to cause damage to other prints will be disqualified (e.g. Velcro pads, poor mounting tape, etc)
5. Prints, slides or digital files of slides that have been accepted in a previous EAF Annual Exhibition will not be eligible.
6. Prints, slides or digital images that have been previously accepted for a PAGB Exhibition are not eligible for resubmission to the PAGB.
7. Entrants who are members of more than one society or club in the EAF are entitled to enter their prints (monochrome and colour) through one society or club and their slides and digital images through another society or club.

8. There is an entry fee of 50p per image. Clubs and Societies will be responsible for the collection of their members entry fees, A cheque totaling the whole of the clubs entry fees, made payable to EAF, should be enclosed with the entries.

Preparation and Presentation
9. Prints must be mounted on a rectangular card 50cm x 40cm (20” x 16”). The minimum image size acceptable is 308sq.cm (48sq in.)
10. To avoid damage prints should be securely mounted and adequately backed.
11. Each print must have the author's name, a title and the name of the entrants' Society or Club printed on the back preferably in the top left-hand corner. Prints with the author’s name on the front will be rejected.
12. Slides must be correctly spotted and all masking must be internal.
13. Each slide must have the author's name, a title and the name of the entrants' Society or Club printed on the mount, on the same side as the spot. All labels must be firmly affixed.
14. A club’s digital image files must be loaded on to one CD. The club’s name must be written on the CD with a “CD marker pen” (no sticky labels).
15. Digital Files to be saved in the following format:-
a) Colour Space - sRGB
b) Mode - RGB Colour - 8 bits per channel. (including monochrome images)
c) File Format - jpeg (.jpg) only, saved at its finest setting (12 in Photoshop).
d) File Size - Maximum width 1024 pixels, maximum height 768 pixels.
e) Filename – Images must be numbered 01, 02 etc up to 20 as they appear on the entry form followed by a space and then the title. If more than one sheet is required, the same numbering convention is to be used on subsequent sheets i.e. 01, 02 etc. Save the image relating to each sheet in their own folder marked sheet 1 sheet 2 etc and write to CD.
16. CDs must be checked that they are VIRUS free.
17. All entries must originate from a photographic image(s) taken by the author; if graphics are used they must be kept to a minimum.
18. The copyright of all elements of a picture must be at the disposal of the author. Clip-art and royalty-free images are not permitted.
19. Any print slide or digital image not entered on an entry form will be rejected.

Entry Date

20. All entries, entry forms and fees must be received by the EAF Exhibition Secretary or his representative, i.e. collector or sub-collector, by the Closing Date of Sunday 16th March 2008.

Selection and Awards

21. The Executive Committee of the EAF will appoint the selectors.
22. Acceptances and awards will be at the sole discretion of the selectors.

23. Awards will be presented for the best monochrome print - best colour print - best slide - best digital image. Each selector may also award a Selector’s Award in each category. Highly Commended awards will also be made at the selector’s discretion.
24. Acceptance labels will be affixed to all prints selected for the Exhibition.

25. There is no classification of subject matter.
26. Monochrome Prints; a black and white image or one which has been modified by the addition of a single tone to the entire image is defined as a monochrome print.
27. Colour Prints; all images except those included in Rule 26 above are defined as colour images. A black & white image which has been modified by the addition of partial toning or by the addition of one colour to any part of the image is a colour print.

PAGB Competitions and Exhibitions

28. Prints, slides & digital images will be selected from the Exhibition to represent the EAF in the Photographic Alliance of Great Britain's annual print, slide & projected image competitions and exhibitions.
29. Any Society/Club, or individual entrant, not wishing their Prints, Slides or Digital Images to be considered for entry into the PAGB competitions and exhibitions – whether because they wish to enter under another Federation or for any other reason – are required to indicate this on the entry form.
30. Prints entered for the PAGB competitions and exhibitions will be subject to their current rules and regulations.
31. Prints selected to represent the Federation in the PAGB Exhibition will have a special label attached to note this distinction.
32. The winning clubs of the EAF Club Slide Championship may borrow their slides (if they have any selected) for the PAGB Inter-federation Club Slide or Digital Images Championships, but they must be returned promptly to the EAF Exhibition Secretary after the event.

General
33. The EAF will assume permission to reproduce any exhibit for the benefit of the EAF or the PAGB at no charge unless specifically refused.
34. The EAF reserve the right to reject any image considered unacceptable for public viewing.
35. Whilst every precaution is taken with entries, the EAF cannot accept responsibility for loss or damage.
36. Selectors are not permitted to submit an entry into the categories that they are selecting.

GENERAL GUIDELINES AND NOTES

Packaging and Dispatching

37. Packages sent by post should not include the entry form or fees, which should be sent under separate cover to the EAF Exhibition Secretary together with return postage. Packages delivered by hand must include the entry form and fees.
38. Prints, slides & CDs must be packed in rigid boxes or cases that can be re-used for returning the entries.
39. Care should be taken to avoid slide boxes damaging prints if they are packed in the same container.
40. All print boxes, or parts thereof, and other packing material should be clearly marked with the name of the submitting Society or Club, a contact name and telephone number.
41. All Societies or Clubs submitting entries to the Exhibition will be sent one copy of the Exhibition Catalogue as soon as it is printed.
42. All Societies or Clubs submitting entries to the Exhibition will be sent copies of their entry forms after the selection has taken place. These will indicate the score awarded to each entry, the prints and slides selected for the Exhibition and those selected to represent the EAF in the PAGB inter Federation Competition and Exhibition.
43. All entrants will receive a copy of the exhibition catalogue, which will be available for collection on the opening day of the exhibition. Any not collected will be sent to the Club Representative after the exhibition closes.
Return of Entries
44. It is anticipated that all prints, slides & digital images (with the exception of those selected for the PAGB exhibitions) & CDs will be available for collection from the sub-collectors or EAF Exhibition Secretary by the end of June. Alternatively, they will be returned by post if the necessary return postage is enclosed. Whichever method was used for delivery will be used for their return.
45. Society or Club Secretaries will be advised when their entries are available for collection.
46. Prints, slides & CDs entered for the PAGB exhibitions will be returned to their respective Society or Club Secretaries by the EAF Exhibition Secretary as soon as practicable.
